Task vs. Event

As you use PolyPlan, especially after connecting your calendars, you will see two types of items in your schedule: some with a completion checkbox and some without.
This is the fundamental difference between what we call a Task and an Event in PolyPlan. The reason we distinguish between them is to accurately represent every item in your schedule.
What is Task?
In PolyPlan, a Task is an item that goes with a completion checkbox. You can get a Task in your schedule when you:
Create an item directly inside PolyPlan.
Sync an item from a dedicated to-do list or task management app (Todoist, Google Tasks, Microsoft To Do, Trello, ClickUp ).
When you tap on the checkbox to mark an item as completed, your action will be synced to the original app where the item is created.
What is Event?
An Event is an item without the checkbox. You get an Event in your schedule when an item syncs into PolyPlan from an external calendar app (like Google Calendar, Apple Calendar, or Microsoft Outlook Calendar).
Calendar applications treat appointments and meetings as simple blocks of time; they don't have a "complete" feature. PolyPlan respects this original format. To keep things accurate, items from your calendar appear as Events, cleanly blocking out your time without a checkbox
Create Task or Event?
Here’s a simple way to decide: Ask yourself: "Do I need to check this off a list?"
If YES, create it in PolyPlan (or your to-do app). It will become a Task.
If NO, and you just need to block out time, create it in your Calendar app. It will become an Event.
Special Cases
For most apps, the origin rule is all you need to know. However, some powerful integrations offer more advanced, custom behaviors.
Notion Integration
The Notion integration is unique because you decide if your items become Tasks or Events during the integration setup.
To get Tasks : In the integration settings, you must map a "completion column" property from your Notion database (e.g., a column with a "Checkbox" property). This is perfect for turning a Notion project database into actionable tasks in PolyPlan.
To get Events : In the integration settings, simply do not map a completion property. This is ideal for syncing a Notion database of meeting notes or key deadlines where you just need to be aware of the date.
Habitify Integration
The Habitify integration is specially designed to match your habit-building workflow.
It appears as an Event: By default, habits from Habitify sync to PolyPlan as Events to visually block out the time you've dedicated to them.
It acts like a Task: Even though there's no visible checkbox on the schedule, you can tap the habit to open a detail view. Inside, you will find a "Mark as Complete" button and more option of tracking progress of your habit. Completing it here will also update your Habitify app.
