To help you streamline your planning process, PolyPlan now integrates with Apple's Shortcuts app, allowing you to perform key actions with a single tap or a voice command to Siri.
This guide will walk you through the four powerful shortcuts now available and how to set them up.
How to Add a PolyPlan Shortcut
Before you can use these powerful automations, you'll need to add them from Apple's Shortcuts app, which comes pre-installed on your iPhone, iPad, and Mac. Here’s how to create your first one:
Open the Shortcuts app.
Tap the
+icon in the top-right corner to start a new shortcut.Tap the “Add Action” button.
In the search bar that appears, type “PolyPlan” to see all available actions.
Select one of the PolyPlan actions from the list
Now, you can configure the action. Tap on the highlighted fields (like "Name" or "Date") to pre-set information. If you leave a field empty, the shortcut will ask you for that information each time it runs.
(Recommended) Tap the name at the top of the screen to rename your shortcut to something memorable, like “Add Work Task” or “Plan my Weekend.” This is also the name you will use to run it with Siri.
Tap “Done” to save. Your new shortcut is ready to use!
Shortcut to Create Task
Quickly capture new to-dos without ever opening the PolyPlan app. This shortcut is perfect for adding tasks on the fly, whether you're in a meeting or just had a sudden idea.
Setup: When adding this shortcut, you can pre-configure fields:
Task Name
Start Time
End Time
Date.
Pro-Tip: For a flexible shortcut, leave these fields empty. When you run it, the shortcut will then ask you for the details each time, making it a universal "add task" button.
How to Run the Shortcut: Simply tap the shortcut. If you left any fields empty during setup, you'll be prompted to enter the missing details. A new task will then be created in PolyPlan on your chosen date.
Shortcut to Apply Day Template
Set up your entire day in seconds. This shortcut is a massive time-saver for your daily and weekly routines.
Setup:
Template: Choose the day template you want to apply
Date: Choose the day you want to apply the template.
Pro-tip:
For flexibility: Leave the Template and Date fields empty to be asked which template to apply and for which day each time you run it.
For specific routines: You can create dedicated shortcuts, like "Activate My Monday Routine", where the template is already pre-selected. You can choose to be prompted for the date or have it always apply to a specific day, like "today" or "tomorrow."
How to Run the Shortcut: Tap the shortcut. It will apply the chosen template to the target date in the background. Once it completes, you can open PolyPlan to see your day perfectly laid out.
Shortcut to Move Tasks
Quickly reschedule, or delete tasks in bulk without manually dragging and dropping. This is your power tool for daily and weekly reviews.
Setup: You'll configure three main options:
Original Date: The date you want to move tasks from.
Filter (Optional): Select a pre-made filter from the PolyPlan app to move only specific tasks (e.g., move only your "Work" tasks).
Destination: Choose where the tasks will go. This can be another Date, your Someday list, or the Trash.
Pro-tip: As with other shortcuts, you can leave any of these fields empty to be prompted each time.
How to Run It: Tap the shortcut and provide any required information. The shortcut will then find all matching tasks on the original date and move them to your chosen destination.
Shortcut to View Tasks
Get a quick glance at your schedule for any day without needing to navigate through the app. This is perfect for widgets or a quick check-in on what's ahead.
Setup:
Date: Configure the date you want to view the task list.
Filter: This is optional, to narrow down the results (e.g., show only tasks with a "High Priority" tag). Filters must be created in the PolyPlan app beforehand.
Pro-Tip:
You can leave any of these fields empty to be prompted each time.
Create a shortcut named "What's on for today?" and set the date to "Today" to instantly see your daily agenda. Create another for "Tomorrow's Plan" for easy evening reviews.
How to Run It: Tap the shortcut. A list will appear showing all the tasks that match your chosen date and filter criteria, giving you an instant overview of your schedule.
